The Position

Administrative Clerks perform a variety of general clerical and administrative duties. Typical duties include:
• Preparing various documents such as forms, reports, invoices, purchase requisitions, timesheets, and other materials, issuing vouchers or receipts and monitoring office purchases.
• Receiving and screening visitors and telephone calls, providing factual information to the public or other East Bay Municipal Utility District (EBMUD) staff or referring inquiries as appropriate; making appointments.
• Providing administrative support to assigned programs, processing various types of applications, coordinating meetings and/or interpreting and explaining EBMUD policies and procedures.
• Organizing own work, setting priorities to meet deadlines.
• Classifying, indexing, filing, logging and locating a variety of materials according to established filing systems; establishing new files and removing outdated materials in files as necessary; maintaining procedure, policy and other manuals.
• Opening, dating, screening, sorting, routing and processing mail; attaching pertinent correspondence and other relevant data for references; assembling and summarizing a variety of reference material.
The ideal candidate will have the following:
Knowledge of Microsoft software and Windows-based, networked PC operations and office practices.
Ability to operate a PC and other modern office equipment; follow oral and written instructions; express self clearly and concisely; deal tactfully and effectively with both the public and coworkers; prepare reports and records according to established format; work with frequent interruptions, within deadlines, while maintaining attention to detail; perform arithmetic calculations and proofread material for grammatical and numerical accuracy quickly and accurately.
This is a hybrid position which requires office presence in accordance with EBMUD’s telecommuting guidelines. The current requirement is a minimum 2-day per week physical office presence. Telecommuting policies are subject to change.
The salary range is $6,593 per month increasing to $6,923, $7,269, $7,632, and $8,014 after 6, 18, 30 and 42 months, respectively.

Requirements

1. Completion of twelfth grade, or its equivalent.
2. One year of clerical experience.
3. A 45-wpm net typing speed is required for certain positions.
4. A valid California driver’s license and satisfactory driving record is required for most positions.
5. Willingness and ability to work occasional overtime during evening or weekend hours as needed; to lift materials weighing up to 30 pounds; to sit, stand, kneel, crouch, etc. for prolonged periods of time for both desk and heavy filing work.
6. Must have manual dexterity sufficient to use a computer keyboard, calculator and typewriter; visual acuity sufficient to read different sized handwritten or typed text at a variety of distances, hearing sufficient to converse both in person and over the telephone.
The most competitive candidate will have the following desirable qualifications: intermediate level skill with Microsoft Excel and Word; ability to type a minimum of 45 net words per minute; and the ability to handle a varied workload, meet deadlines and produce accurate work.

The Selection Process

1. Submit a completed EBMUD application and the required supplemental question responses online at www.ebmud.com by 4:30 p.m., Friday, September 19, 2025. Only the first 150 qualified applications submitted online during the filing period will be accepted. Application materials submitted at any other time or on other dates will not be accepted.
2. It is important that your application includes all relevant education and experience. Incomplete applications may be rejected. Should you respond with comments such as "see resume" your application may not be considered.
3. Candidates must achieve a passing score on each test part in order to advance to the next step in the selection process.
4. Qualified candidates will be invited to an in-person written test tentatively scheduled for Friday, October 3 or Saturday October 4, 2025.
5. Candidates with the highest scores on the written test will be invited to an online performance test (which will include speed typing, Microsoft Word and Microsoft Excel subtests) the week of October 13, 2025, and a remote panel interview tentatively scheduled for the week of November 3, 2025.
6. Candidates who successfully pass all parts of the test process will be placed on the hiring list in rank order for further consideration to fill the current regular vacancy, as well as others occurring over the next 12 to 24 months. Only candidates with passing scores on specific performance test components (i.e. Microsoft Word, Microsoft Excel) will be considered for openings that require these skills. EBMUD will obtain and review driving records for those candidates being considered for openings that require a California driver’s license.
7. The probation period for this position is 6 months. For those holding civil service status the probation period is 6 months.
8. All employment offers are conditional, pending the results of a Live Scan background screening. All selected finalists must participate in the Live Scan background screening process to remain in consideration for EBMUD employment.
