Job Title: Employee Experience & office coordinator
Location: Scale Space, 58 Wood Lane, W12 7RZ
Hours: 40 hours per week
Salary: £32,000–£38,000 (depending on experience)

We are looking for an employee Experience & Office Coordinator to join our team and play a key role in supporting both our people operations and workplace experience.
This is an ideal opportunity for an HR graduate or someone early in their HR career who is also comfortable with office coordination responsibilities. You’ll have the chance to get hands-on experience across a broad range of HR areas, onboarding, systems, policy, and benefits, while also supporting day-to-day office operations that keep the team running smoothly.

What you’ll be doing
HR Coordination & Projects
- Support the People and Talent Lead with pre-onboarding duties, liaising with IT suppliers to set up equipment for new joiners.
- Welcome new team members on their first day, introducing them to their equipment and systems and helping them settle in.
- Coordinate and improve the onboarding process, using feedback and data from surveys to enhance the experience.
- Help optimise and maintain our HRIS system (HiBob), ensuring data accuracy and supporting system improvements.
- Assist with drafting, reviewing, and organising internal policies and HR documentation.
- Support benefits administration and the implementation of new people-related initiatives.
- Take on small HR projects, including policy reviews, process mapping, and employee engagement initiatives.
Office Coordination
- Manage office supplies, stocktake stationery, snacks, and drinks, and ensure the workplace is well-equipped.
- Prepare meeting rooms for company-wide, investor, and commercial meetings.
- Take minutes during meetings and circulate them promptly.
- Act as a point of contact with external providers (e.g., Scale Space, AirIT, legal teams), escalating issues where necessary.
- Send out NDAs and contracts and ensure proper filing in SharePoint folders.
What you’ll need to be successful
- Ideally, experience in an office or HR coordination role, or be a recent HR graduate with a strong interest in people operations.
- Highly organised with excellent attention to detail.
- Strong written and verbal communication skills.
- Confident using MS Office and quick to pick up new tools and systems.
- Comfortable working independently and able to manage multiple tasks at once.
- Positive, adaptable, and team-oriented mindset.
