What You Will Contribute:

The Engineering Documentation & Automation Specialist supports Engineering operations (including PMO and Advanced Development) while designing and maintaining document automation solutions that streamline quoting, configuration, and documentation workflows. This role is a blend of operations support and technical enablement. The specialist partners cross‑functionally with Project Managers, Controls/Sales Engineers, and vendors to ensure documentation accuracy, process efficiency, and data integrity.

Key Responsibilities

1) Engineering Operations & PMO Support

  • Build and deliver ad‑hoc/standard queries and reports for Project Managers to improve project visibility and decision‑making.
  • Complete weekly documentation and status reporting across assigned responsibility areas.

2) Documentation Control & ECM

  • Oversee document control processes, including Policies & Procedures (P&P), Deviations, ER (Engineering Release) workflows, and maintenance of database tables.
  • Contribute to the next‑generation documentation control approach (templates, versioning, metadata, access, retention) in partnership with Engineering leadership.
  • Serve as an administrator/coordinator for documentation standards and engineering SOPs across teams.

3) Document Automation (Excel/Word/VBA)

  • Design, code, and maintain Excel macro‑enabled workbooks and Word templates to automate customizable proposals/quotes and technical outputs.
  • Implement reliable Excel↔Word data transfer to generate customer‑facing proposal documents and internal engineering documentation rapidly and accurately.
  • Build/maintain solutions to link to external/remote data sources for real‑time, accurate document population.

4) Structured Data & Exports

  • Implement and support CSV and XML exports from Excel for downstream uses (e.g., SCADA configuration, CAD/electrical drawings), ensuring mapping accuracy and formatting consistency.
  • Standardize data schemas and validation to reduce manual entry and rework.

5) Quality Assurance & Governance

  • Perform QA on documents generated by engineers and PMs to ensure completeness, accuracy, and compliance with standards.
  • Maintain document/automation change logs, version control, and release records; ensure audit‑readiness and alignment with policies.

6) Collaboration, Training & Vendor Coordination

  • Collaborate with PMs, Controls Engineers, Sales Engineers, and Finance on requirements and continuous improvement opportunities.
  • Provide user training and troubleshooting for advanced Excel/Word features, macros, and data integrations.
  • Communicate professionally with outside vendors; coordinate data/document exchanges and resolve integration issues.

7) Continuous Improvement

  • Track industry/technology trends (VBA, Office automation, data integration, ECM) and recommend enhancements to templates, scripts, and process flows.
  • Identify and remediate process bottlenecks; propose automation and documentation improvements with measurable impact.

Qualifications

Required

  • Associate’s degree in Business, Technology, Information Systems, or related field (Bachelor’s preferred).
  • 3+ years in engineering/operations administration, business systems, or document control; strong experience may substitute for formal degree.
  • Advanced proficiency in Microsoft Excel and Word; hands‑on VBA macro development for document automation.
  • Familiarity with Database Connectors, API calls and macro scripting in LISP and Python.
  • Proficiency with CSV/XML exports, data mapping, and validation.
  • Strong analytical/problem‑solving skills; ability to prioritize in a dynamic environment.
  • Clear, professional communication and cross‑functional collaboration skills.

Preferred/Nice to Have

  • Experience with ECM/PLM or documentation control systems and engineering change/release processes (ERs, Deviations, P&P).
  • Experience connecting to external data sources for automated document population.
  • Certification or coursework in VBA, XML, or data integration.
  • Exposure to CAD/SCADA environments or B2B manufacturing/technology settings.
  • Experience facilitating training sessions for end‑users on automation tools and processes.
